1. General Terms

By confirming a booking with Vienna Day Trip, the customer acknowledges and agrees to the following cancellation, amendment, refund, and no-show terms and conditions. These terms apply to all services unless otherwise agreed in writing.

2. Cancellation Policy

A. Airport Transfers & City Transfers

* Free cancellation: Customers may cancel free of charge up to 24 hours prior to the scheduled pickup time.
* Cancellation within 24 to 6 hours before pickup: A cancellation fee of 50% of the total booking amount will apply.
* Cancellation less than 6 hours before pickup: The booking becomes non-refundable, and up to 100% of the agreed service amount may be charged.

B. Day Trips, Hourly Chauffeur Services & Custom Bookings

This includes, but is not limited to, sightseeing tours, long-distance transfers, multi-day services, hourly chauffeur bookings, and tailor-made itineraries.

* Free cancellation: Customers may cancel free of charge up to 48 hours prior to the scheduled pickup time.
* Cancellation within 48 to 24 hours before pickup: A cancellation fee of 50% of the total booking amount will apply.
* Cancellation less than 24 hours before pickup: The booking becomes non-refundable, and up to 100% of the agreed service amount may be charged.

3. Booking Amendments & Rescheduling

Requests to amend or reschedule bookings, including pickup times, routes, passenger details, destinations, or service duration, are subject to availability and written confirmation by Vienna Day Trip.

Rescheduling requests made within 48 hours of the scheduled pickup time may be accepted at the sole discretion of Vienna Day Trip; however:

* Once a booking has been rescheduled within 48 hours before the original pickup time, the booking shall be deemed final and non-cancelable.
* Such rescheduled bookings shall not be eligible for cancellation, refund, or credit, regardless of subsequent cancellation by the customer.
* Additional charges may apply where pricing, route, duration, vehicle category, or operational costs differ from the original booking.

4. No-Show Policy

A booking shall be considered a no-show where:

* the customer fails to appear at the agreed pickup location within the included waiting period;
* the customer cannot be contacted using the contact details provided;
* the customer leaves the pickup location without notifying the driver;
* incorrect or incomplete pickup information provided by the customer results in unsuccessful service delivery.

In the event of a no-show, the booking shall be fully charged and non-refundable.

5. Included Waiting Time

Unless otherwise agreed:

* Airport pickups: Include up to 60 minutes complimentary waiting time from the actual flight landing time (provided valid flight information has been supplied).
* Train station pickups: Include up to 30 minutes waiting time.
* Other transfers: Include up to 15 minutes waiting time.

Additional waiting time may be charged according to the applicable service rates.

6. Flight Delays & Airport Transfers

For airport pickups, Vienna Day Trip monitors flight arrivals where valid flight information has been provided by the customer.

Reasonable delays caused by airlines will be accommodated where operationally possible and without additional charge within standard waiting limits. Significant delays beyond operational feasibility may require additional charges or alternative arrangements.

Customers remain responsible for providing accurate and complete flight details.

7. Custom Tours, Third-Party Reservations & Advance Payments

Deposits, advance payments, and costs associated with:

* custom itineraries,
* multi-day tours,
* hotel reservations,
* event tickets,
* restaurant bookings,
* security services,
* third-party suppliers,
* or other special arrangements,

may be partially or fully non-refundable, regardless of cancellation timing, where such expenses have already been incurred.

8. Refund Processing

Approved refunds shall be processed to the original payment method used by the customer.

Refund processing times may vary depending on banks and payment providers but are generally completed within 5–10 business days after approval.

Transaction fees, payment gateway charges, or non-recoverable third-party costs may be deducted where applicable.

9. Force Majeure

Vienna Day Trip shall not be liable for delays, cancellations, inability to perform services, or additional costs arising from circumstances beyond reasonable control, including but not limited to:

* severe weather conditions,
* traffic disruptions,
* accidents,
* road closures,
* strikes,
* civil unrest,
* governmental restrictions,
* border controls,
* public health emergencies,
* natural disasters,
* or any other force majeure event.

Under such circumstances, Vienna Day Trip reserves the right to modify, delay, or cancel services where necessary for safety or operational reasons.

10. Service Refusal Rights

Vienna Day Trip reserves the right to refuse or terminate services without refund where customers:

* behave abusively, aggressively, unlawfully, or in a manner endangering drivers, vehicles, or third parties;
* exceed permitted passenger or luggage limits;
* violate applicable laws or regulations.

Additional costs arising from damage or extraordinary cleaning requirements may be charged to the customer.

11. Limitation of Liability

To the maximum extent permitted by applicable law, Vienna Day Trip shall not be liable for indirect losses, missed flights, missed appointments, consequential damages, or losses caused by circumstances outside reasonable control.

The customer remains responsible for allowing sufficient travel time.

12. Contact for Cancellations & Changes

Cancellation or amendment requests should be communicated as early as possible through the official website, email, telephone, or other approved communication channels provided by Vienna Day Trip.

Requests are considered effective only upon confirmation by Vienna Day Trip.

By confirming a booking, the customer confirms acceptance of this Cancellation & Refund Policy and all applicable Terms & Conditions of Vienna Day Trip.
